The department

Our PA team comprises seven experienced PAs plus a PA Manager, who together support our Business Crime and Commercial Litigation & Civil Fraud legal teams. The team is highly stable, and many of the PAs have been with the firm in excess of 15 years.

The role

Due to ongoing growth, we require another experienced PA to provide high quality support to Partners, Associates and Trainees. The role comprises the full PA service and will see the individual collaborating closely with the wider team of PAs to support their own allocation as detailed below.

The PA will report to the PA Manager.

Typical duties will include, but are not limited to:

  • Extensive diary and travel management (booking hotels, organising visas, managing international itineraries etc).
  • Proactively anticipating the partners’/associates’ needs in advance of meetings, conferences, and taking action to ensure they are properly prepared.
  • Billing - preparation of narratives and processing invoices; liaison with the Finance Team; attendance at monthly WIP meetings and occasional time recording for lawyers.
  • Preparing standard documents and forms from templates and document production.
  • Drafting of emails and letters on behalf of fee earners where appropriate.
  • Undertaking conflict checks, collating KYC documentation, drafting of engagement letters to comply with risk and compliance procedures.
  • Liaison with clients and other third parties to organise internal and external meetings and conferences.
  • Client liaison including taking messages, dealing with enquiries and responding to correspondence etc.
  • Direct emails to the appropriate individuals for swift response and action.
  • Arranging lunches, dinners and seminars, including sourcing restaurants and private hire venues.
  • Processing expenses including corporate credit card statements.
  • E-filing on iManage (firm’s Document Management System).
  • Assisting with marketing and business development projects such as legal directory submissions.
  • Maintaining client contact database (InterAction).
  • Liaison with other PAs to provide ad hoc support or to cover holiday/sickness absence.

The person

We are looking for candidates with the following skills and experience:

  • At least 5 years’ experience providing PA support at partner level.
  • Strong technical skills, advance knowledge of Microsoft Word, Excel & Outlook with fast and accurate typing.
  • Excellent written and verbal communication skills.
  • The ability to multitask and prioritise an everchanging workload.
  • Extensive billing experience, preferably using Partner for Windows (P4W).
  • Meticulous attention to detail.
  • Highly confidential, professional, and discreet.
  • Deliver a quality service to both internal and external clients.
  • Problem solving and decision-making skills.
  • Self-motivated and able to work without supervision and to a high standard, as well as effectively as part of a team.
  • Friendly, personable, and approachable.
  • Flexible, resilient, and confident in their approach.

The team operates a hybrid working rota and the individual will be required to attend the office on set days generally between 40/60% of the time, and occasionally more often during busy periods or to cover holidays and absence. A degree of flexibility over hours is also required e.g. to cover the evening rota.
